Covid-19 Testing/Proof of Vaccination FAQ’s
Effective October 15, 2021, the State of California is requiring volunteers on campus who will interact with scholars or staff to show proof of vaccination or a negative covid test once for each week that they will volunteer. Covid-19 tests must be taken within one week of their time on campus.
Does this apply to volunteers who will not be working with scholars such as copy cats?
Yes. Anytime a volunteer is interfacing with staff or others on campus. The only exception would be volunteering after hours – where there would not be ANY interface with scholars or staff.
Do I need to be vaccinated to volunteer?
No. This is not a mandate to be vaccinated, but to show proof of vaccination or to test weekly.
If I received my first shot of the COVID-19 vaccine, can I volunteer without testing?
No. The State requires volunteers that will be on campus and interacting with staff or scholars to be “fully vaccinated” or provide a negative test result.
An individual is considered “fully vaccinated” two weeks or more after they have received the second dose in a 2-dose series (i.e., Pfizer-BioNTech or Moderna or vaccine authorized by the World Health Organization), or two weeks or more after they have received a single-dose vaccine (i.e., Johnson and Johnson [J&J]/Janssen).
What do I need to provide to the Academy to show that I have been vaccinated against COVID-19?
Schools can accept one of the following as acceptable evidence of full vaccination:
- COVID-19 Vaccination Record Card (issued by the Department of Health and Human Services Centers for Disease Control & Prevention or WHO Yellow Card) which includes name of person vaccinated, type of vaccine provided and date last dose administered; OR
- a photo of a COVID-19 Vaccination Record Card as a separate document; OR
- a photo of the individual’s COVID-19 Vaccination Record Card stored on a phone or electronic device; OR
- documentation of COVID-19 vaccination from a health care provider; OR
- digital record that includes a QR code that when scanned by a SMART Health Card reader displays to the reader client name, date of birth, vaccine dates and vaccine type; OR
- documentation of vaccination from other contracted employers who follow CDPH vaccination records guidelines and standards.
Who collects my COVID-19 vaccination documents or test results?
When a volunteer comes to sign in, front desk person checks proof of vaccination or negative covid test.
How does the Academy store this information?
If a volunteer shows proof of vaccination, they only need to show this once. We will track the verification of vaccination status only.
If a volunteer is providing negative test results, they will need to show a negative test once for each week of volunteering which will be logged on a form.
What if I don’t have proof of vaccination?
If a volunteer cannot provide the acceptable proof of vaccination, then the school is required to deem them as unvaccinated and they must provide a negative COVID-19 test result prior to interacting with staff or scholars.
Which COVID Test results will be accepted?
Test results from a certified testing site, healthcare provider, or an over-the-counter antigen test--with Emergency Use Authorization (EUA) by the U.S. Food and Drug Administration--will be accepted. Volunteers will be asked to provide a printout or photo of test results when they check-in for the volunteer activity.
What if the volunteer has had Covid-19?
If the volunteer has had Covid-19, and recovered within the last 90 days, they will not be required to test weekly in order to volunteer. The Academy will accept a Doctor’s note verifying prior history of COVID-19 within the last 90 days or results from a COVID-19 test showing a positive result within 90 days.
If the volunteer has had Covid-19 more than 90 days prior, they will need to show proof of vaccine or negative test.
May volunteers test with staff at the school site?
Regular volunteers, upon availability and site admin approval, may participate in on-site testing via Primary Health Services during staff testing windows. Volunteers must test within a week prior to the volunteer activity. We do not have enough staff to accommodate various individual testing requests each week.
What if I will be volunteering outside? Will I need to show proof of vaccination or negative Covid-19 test?
Yes. Unfortunately, the Governor’s mandate to show proof of vaccination or test, does not differentiate between indoor or outdoor settings. This requirement is for volunteers interacting directly with scholars or staff regardless of whether they are inside or outside.
